BACKGROUND
Digital Commerce Bank (DC Bank) Canada is a financial institution specializing in prepaid card programs, digital payments, and transaction processing for businesses, fintechs, and government clients. Operating in a highly regulated market, the bank needed to move away from manual, form-heavy processes and build intelligent, automated workflows for onboarding, compliance, and fee management, without compromising on security, accuracy, or user experience.
THE CHALLENGES
Addressing
critical gaps
High transaction volumes and paper-based workflows created processing bottlenecks. The bank urgently needed automation to reduce manual effort, minimize errors, and free up compliance teams for higher-value work.
Onboarding workflows were heavily dependent on manual interventions. The bank needed a guided, digital-first flow that simplified complex compliance requirements while keeping applicants engaged and on-track.
Connecting BPM workflows to core banking APIs, KYC/AML providers, IDV tool, email/SMS gateways, and payment systems demanded a robust, reliable integration layer that could scale without brittleness.
Regulatory requirements demanded dynamic validation, approval routing, risk-flag capture, and document controls, all embedded natively into workflows rather than bolted on as afterthoughts.
The platform needed to serve multiple brands: DC Bank, DC Payments, Pateno, and Trust, from a single architecture, with reusable workflow sections that could adapt to differing business rules per brand.

THE ROBOSOFT SOLUTION
Robosoft designed and built end-to-end customer onboarding workflows on the Decisions platform, with structured registration, email OTP, address lookup, and conditional fields that reduce back-and-forth for applicants.
Implemented risk-aware logic capturing MSB/PSP flags, high-risk activity checks, ownership structures, and source-of-funds verification, all surfaced early in the flow to improve review readiness and compliance accuracy.
Built a scheduled annual fee collection workflow with automated reminders, due-date tracking, and penalty handling, eliminating manual follow-up and ensuring payment accuracy across all client accounts.
Integrated core banking APIs, IDV verification tools, and payment status systems through a structured API automation layer, enabling real-time data synchronization across all connected services.
Implemented custom error handling to prevent applicant-facing failures, with webhook-based IDV detail retrieval, weekly authentication validation, and controlled redirects that keep the user experience smooth under all conditions.

Clear outcomes
that drive

The reusable workflow architecture supports Pateno, DC Bank, DC Payments, and Trust from a single platform, with 30–100 monthly applications already flowing through one brand and more being onboarded.
Mandatory document upload rules and application attestations improve completeness before review.
